Some great new features have been added to the Contacts section allowing for a richer and more flexible interaction with your customers and suppliers.
Contact Overview
An overview page has been introduced to allow for simultaneous display of the contact’s details and their current financial position. Transactions (Invoices, Credit Notes, etc) can be created directly from this view.
Alternate Address
An alternate or second address can be stored against each contact. The Invoice Address will be used by default but the alternate address can be selected as required in each transaction.
Notes
You can now add unlimited notes against each contact. This will help you keep a chronological record of all your client interactions or you can leave notes and instructions for your staff members.
Multiple Email Addresses
The Email field has been enhanced to accept multiple email addresses. Use a comma to separate each address.
Alternate Name on Invoice
Each contact can now have a Name and an Invoice Name. If used, the Invoice Name will replace the Name on the printout of Invoices, Credit Notes, Quotes and Orders. This is useful for separating Legal and Trading Names.
Skype your Contact
Add in your contact’s Skype account id. A hyperlink will be available on the overview screen for one-click Skype calling.
Automatic mapping through Google Maps
If you have entered an Invoice Address and/or Alternative Address, then you can link directly to that address through Google Maps.

Late entry transactions are those that have been created with a transaction date in a previous tax period after you have already saved and submitted that period’s VAT return. Unless you have manually adjusted your return or set your Start Date back in the past, these transactions have never been included in a VAT Report.
In previous newsletters and blog posts we recommended that you check for late entry transactions by setting the Start Date of your VAT report to an earlier date than the current period Start Date. Thats about to change, making things much easier.
We now take a more proactive approach. From now on you will be issued with a warning if you have transactions dated before the Start Date, and where those transactions have not yet been included in any other saved VAT report. You will then have the option of including these late entry transaction in the current report or ignoring the warning and proceeding as usual. For more information, please read the VAT/GST/Tax Report help document.

Up until now, you have been able to import CSV, OFX and QFX files into AccountsPortal for easy bank statement processing. We have now added support for QIF files. Some banks may call this Microsoft Money or Quicken Interchange Format.
Happy importing!

Sales Quotes and Purchase Orders are vital documents for keeping control of your business commitments. As part of our strategy to provide the best value online business software, we are delighted to announce the integration of these features into the existing AccountsPortal application.
Sales Quotes and Purchase Orders are created in the same way as Invoices. You can then easily convert them to an Invoice at any time, and we also keep a record of when the conversion took place. Similarly, you can also mark Quotes and Orders as Rejected. There are no extra settings required but we recommend you read through the Sales Quotes and Purchase Orders documentation to familiarise yourself with the functionality.
The resulting PDF documents can be printed or emailed and make full use of the Branding and Templates functionality for styling requirements.

Go forth and quote!

An easy-to-use date selector has now been added to all reports and filters throughout AccountsPortal.
The available options will differ depending on whether the report has one or two date fields. They will also take into account your organisation's Financial Year, which is specified in the Financial Settings.

Recurring Invoices are a great way to automatically create sales and purchase invoices on a regular schedule.
We have now added the ability to search or filter the recurring invoices, and to also export the list to CSV.
